Job Summary: We are seeking a highly organized and detail-oriented Real Estate Administrative Assistant to support our real estate team. The ideal candidate will possess excellent communication skills, a proactive work ethic, and the ability to multitask in a fast-paced environment. This position involves a range of administrative duties, providing crucial support to our brokers, agents, and clients to ensure smooth operations and a positive client experience.
Key Responsibilities:
- Provide administrative support to real estate brokers, agents, and clients.
- Handle scheduling and calendar management for real estate appointments, showings, and meetings.
- Prepare, organize, and manage documents related to property listings, contracts, leases, and client communications.
- Maintain and update property listings in MLS and other real estate databases.
- Coordinate communication between clients, agents, and service providers.
- Assist in preparing marketing materials such as brochures, flyers, and social media posts for property listings.
- Manage office supplies and ensure the smooth operation of office functions.
- Handle client inquiries and provide general information about properties, processes, and procedures.
- Assist with preparing and processing transaction paperwork, including offers, counteroffers, and closing documents.
- Ensure compliance with real estate laws, regulations, and company policies.
- Perform other administrative duties as required by the team.
Qualifications:
- High school diploma or equivalent; additional education or certification in real estate or administration is a plus.
- Proven experience as an administrative assistant or in a real estate office setting.
- Familiarity with real estate practices, terminology, and local market trends.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and real estate software (MLS, CRM tools, etc.).
- Strong organizational skills with the ability to manage multiple tasks and deadlines.
- Excellent communication skills, both written and verbal.
